The point where a business has outgrown spreadsheets and generic tools: people compensate with manual steps, data lives in several disconnected places, and the tools dictate the process rather than the other way around.
When it's useful
When workarounds are a daily tax, when a process central to the business has no system that fits it, when disconnected tools cause errors, or when a new revenue line needs software that doesn't exist yet.
Who it's for
SMBs with a process that is core to how they make money and genuinely specific to them - not something a configured SaaS product would handle well.
The limitations
Custom software is a commitment: it needs maintenance, it can be over-built, and it's the wrong choice when a configured off-the-shelf tool would do. The cost of ownership continues after launch.

XP Labs looks hard for a reason not to build - a tool that would fit, a process that could change - before recommending custom software. When it is the right call, the first build is deliberately small and focused on the highest-value part.
