Process automation

Business process automation (BPA) is mapping a manual, repeatable business process end to end and removing the friction by connecting the systems that already hold the data.

What it is

A structured approach: document how a process actually runs, find the steps that are manual, slow or error-prone, and replace them with automated hand-offs between existing systems - with people kept where judgement is needed.

What business problem it solves

Processes that work but cost far more time and attention than they should - onboarding, quoting, invoicing, approvals, reporting, fulfilment - and where a mistake means rework or an unhappy customer.

When it's useful

When a process runs often, involves several people or systems, has clear rules, and has a measurable cost when it goes wrong or slowly.

Who it's for

SMBs with an established operation and recurring back-office or customer-facing processes that have grown organically.

The limitations

BPA depends on the process being understood and reasonably stable. Highly variable or judgement-heavy processes automate poorly. The systems involved need to be connectable. Automation locks in the current design, so the design should be reviewed first.

How XP Labs approaches it

XP Labs maps the process with the people who run it, quantifies the friction, and automates the mechanical steps while keeping humans on the decisions. Success is measured in time recovered and errors avoided.

Questions to ask before implementing it

  • What does this process look like, step by step, today?
  • Which steps are mechanical and which need judgement?
  • Where does it break, and what does that cost?
  • Can the systems involved be connected?
  • Should the process be redesigned before it's automated?

Common questions

How is BPA different from general automation?
BPA is automation applied to a whole business process end to end, starting from a documented map. General automation might just connect two apps; BPA asks whether the process itself is right first.
